SHIPPING TO THE ACS CONFERENCE
To help ACS manage the large volume of shipments received at the conference, we require that all packages shipped have additional identifying information. Please read through the following instructions to ensure proper handling of your items please, contact us with any questions.
PRODUCT INFORMATION FORMS
If you are shipping food products to be used at Conference for any event, ACS requires that you complete the Product Information Form. Upon completion of the form you will receive an email confirmation of your submission. Please print a copy of this form to use as a packing slip for each box in your shipment. The packing slips help us ensure we have the details for every product we receive and can get them to the correct event. It is recommended that you make a copy of your packing slip(s) for your own records.

CONFERENCE SHIPPING LABELS
You must affix these labels to the outside of your package(s) to clearly identify your shipment. Please affix one label to the exterior of each box being shipped, and make sure to denote what event(s) the item(s) are for.
NOTE: Please send any Meet the Cheesemaker items this year in their own box(es) for ease of transportation to a secondary location.
NON-PERISHABLE ITEMS – use these package labels to ship to the Hale Expo Advance Warehouse. Shipment must arrive between June 17 – July 8, 2024.
If necessary, you may ship directly to the Show Site no earlier than July 9, 2024 - use these package labels.
PERISHABLE ITEMS – use these packing labels. Items must be shipped directly to the Show Site for delivery, and cannot arrive before July 9, 2024. Deliveries received before July 9, 2024, will be refused and returned.
If you are shipping a mixture of Perishable items AND Non-perishable items together – please use the Perishable items labels. If you are not sure which label to use, please, contact us.
CARRIER SHIPPING LABELS
Along with the noted labels, you will need to affix to the package(s) the label of the carrier you plan to use (UPS, FedEx, etc.). Shipments arriving without the necessary labels will not be accepted by Hale Expo Services, LLC. at the Advance Warehouse or on the Show Site. Hale Expo Services (partnering with ArcBest Tradeshow Shipping) is the ACS carrier and can help if you need assistance. Please reach out to Sean Laettner at csr@haleexpo.com.
Keep your shipment tracking information on hand! Should there be any issue in receiving your shipment, you will be contacted by a representative of ACS.

If you are shipping product for a SPONSORED EVENT or MEAL –
For any product that the catering team at the Buffalo Convention Center will be preparing and serving as a part of a meal function, you would ship to the Buffalo Convention Center Loading Dock Attention to ACS Annual Conference name on it and a note stating “freezer” or “cooler”. All shipments are to arrive on July 8th, or July 9th by 5:00 PM. We cannot guarantee the acceptance of shipments scheduled to arrive before July 8th.
NOTE: All perishable items must be received within proper holding temperatures. Buffalo Convention Center reserves the right to refuse product should it not be within the proper temperature.
Deliveries to the Buffalo Convention Center – Deliveries are accepted, Monday, July 8th, and Tuesday, July 9th between the hours of 8:00 AM-5:00 PM. If you need further assistance, please contact the convention center at 716-855-5555.
Please note they will be closed on Thursday, July 4th and Friday, July 5th.

RECEIVING SCHEDULE
Common, Private Carrier deliveries will be accepted between 10:00 am – 4:00 pm on July 9th and 10th at the Buffalo Convention Center, 153 Franklin Street, Buffalo, New York, 14202, Pearl Street Loading Dock. Please contact John Dubreville at 716-818-7597, if you have questions upon arrival to gain access to the off-loading zone. These will all be received by Hale Expo and handed off to the ACS Receiving Manager for processing.
Hand Deliveries will also be accepted here during this time. A hand delivery is defined as anything that can be delivered by hand carrying or the use of a personal dolly to go to the show floor. If a shipment needs a larger flat cart, forklift, pallet jack, or loading dock to be delivered, it needs to be checked in by Hale Expo. Ask for the ACS Receiving Manager to check in your product upon your arrival.
NOTE: All perishable items must be received within proper holding temperatures (32-45*F). Please be aware of shipping times and pack your items accordingly. All boxes will be opened upon receipt to ensure food safety and proper handling.
